This page explains what Tapp Solutions Mail Agent (“the tool”) does with email, in plain terms. The tool is operated by Tapp Solutions Inc. (“we”) and is used only on mailboxes we own. Nobody else's email is read by it.
What the tool reads
The tool reads messages in the Tapp Solutions Gmail mailbox it has been connected to: the sender, the recipients, the subject, the date, the labels, and the body of each message. It reads the mailbox it is connected to and nothing else.
What it does with them
For each message it decides what kind of message it is and what should happen next. Depending on that decision it may add a Gmail label, mark the message for a person's attention, save a draft reply in the Drafts folder for a person to review, or move the message to a folder. It records what it did in a log that we keep.
To make that decision it sends the text of a message to Anthropic's Claude service, an artificial-intelligence service we use under Anthropic's commercial terms. Anthropic processes that text to return a decision and does not use it to train its models. No other outside service receives the content of email.
The tool does not send email by itself. Any reply it writes is saved as a draft, and a person decides whether to send it.
Where information is kept
The tool runs on a computer owned by Tapp Solutions Inc. The log of what it did, which includes the sender, subject, date and a one-line summary of each message, is stored in an Airtable database that we control. Email itself stays in the Gmail mailbox.
What we never do
We do not sell email or information taken from it. We do not share it with advertisers or data brokers. We do not use it for advertising, for building profiles, or for anything other than sorting our own email. We do not let people read email through the tool except for the owner of the mailbox.
Google user data
The tool's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. In particular: Gmail data is used only to provide the sorting described above; it is not transferred to others except as needed to provide that sorting (the AI service described above) or as required by law; it is not used for advertising; and it is not read by people except with the mailbox owner's consent, for security purposes, or to comply with the law.
Switching it off
Access can be removed at any time from the Google Account that owns the mailbox: Google Account → Security → “Your connections to third-party apps & services” → Tapp Solutions Mail Agent → remove access. The tool then stops reading the mailbox immediately. Log entries already made can be deleted on request.
